At Cartrex we are committed to protecting your privacy and making sure your personal information is handled securely and responsibly. This policy explains what we collect when you use this website and our services, why we collect it, where it is kept, and what you can ask us to do with it.
1 Information we collect
The enquiry forms on our booking and contact pages collect only what we need in order to reply to you:
(i) your name, phone number and email address;
(ii) your ABN, if you choose to supply one for GST invoicing or contractor rates;
(iii) the vehicle class, and the pickup and return dates you are asking about; and
(iv) whatever you write in the message field, along with the page you sent the enquiry from.
Those fields are the whole of it. This website does not ask for, and cannot accept, your driver’s licence, identity documents or card details.
Completing a rental requires more than an enquiry does. At that point we collect your driver’s licence details, proof of identity and payment details, and we verify your driving eligibility. That information is collected through our booking system or in person at the depot — never through the forms on this website — and is handled under our Rental Terms and Conditions.
We do not run advertising pixels on this website, we do not build profiles of individual visitors, and we do not buy or collect information about you from third parties. We do measure how the site is used, in aggregate, using Google Analytics — what that involves, and how to switch it off, is set out in section 5.
2 How we use your information
We use what you send us to:
(i) answer your enquiry and quote you availability and a total price;
(ii) process bookings and payments, and issue tax invoices;
(iii) verify identity and driving eligibility where a hire proceeds;
(iv) communicate confirmations, changes and support; and
(v) meet our legal, insurance and regulatory obligations.
We do not send marketing email to people who have only made an enquiry.
3 Who we share it with
We do not sell or rent your personal information to anyone. We share it only where it is necessary, and only with:
(i) the service providers who run our booking system, store our enquiry records and measure how this website is used (see sections 4 and 5);
(ii) payment processors, for the payment itself;
(iii) insurers and their assessors, in connection with a claim or damage during a rental;
(iv) toll operators, and enforcement or government agencies, where we are required by law to identify the driver of a vehicle; and
(v) law enforcement, where the law requires it.
4 Where your information is stored
Enquiries submitted through this website are stored in a hosted database provided by Supabase. Those servers are located in Japan. By sending us an enquiry you consent to your information being stored outside Australia for that purpose. We take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles wherever it is held.
Enquiry records are readable only by Cartrex staff holding the appropriate credentials. The website itself can add an enquiry and can do nothing else — it cannot read back, change or delete what has been submitted.
Reservations made through our online booking system are handled by Rental Car Manager, a third-party rental management provider, under its own terms and privacy arrangements.
We keep enquiry records only as long as we need them to deal with your enquiry and to meet our legal and insurance obligations, after which they are deleted.
5 Cookies and tracking
This website sets cookies for one purpose: counting how it is used. We do not use cookies for advertising, we do not follow you across other websites, and nothing here is used to identify you personally.
The measurement is done by Google Analytics. When you open a page it records which pages you looked at and in what order, roughly where you are in the world (worked out from your IP address, which Google shortens before storing), what kind of device and browser you used, and which site or search sent you here. Google stores that data on its own servers, which are outside Australia. It is reported back to us as totals and trends, never as a named individual, and it is not connected to any enquiry you send us.
To switch it off: block cookies for this site in your browser, turn on its Do Not Track or tracking-protection setting, or install Google’s Analytics opt-out add-on. The site works exactly the same either way.
Two other things involve a request to an outside company when a page loads. Our typefaces are served by Google Fonts, and our online booking system is operated by Rental Car Manager. In each case that company receives your IP address as an ordinary part of serving the request. You can block either at the browser level; the site stays usable if you do, though it will not look quite as intended.
6 Data security
This website is served over an encrypted connection, and enquiries are transmitted and stored encrypted. Access to enquiry records is restricted to staff who need it. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, alteration or disclosure.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.
7 Your rights
You may ask us to:
(i) tell you what personal information we hold about you, and give you access to it;
(ii) correct or update anything that is wrong or out of date; and
(iii) delete your information, where we are not required to keep it for legal, insurance or taxation reasons.

If you are not satisfied with how we have handled your personal information or your complaint, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.
8 Third-party links
This website links to sites we do not operate. We are not responsible for their content or their privacy practices, and this policy does not apply to them. Read their own policies before giving them your information.
9 Changes to this policy
We may update this policy from time to time. Any change is published on this page with a revised “last updated” date at the top. If a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you.
